Role Summary:

This position assists with ASGE’s publication portfolio of internationally renowned journals including managing the monthly publication of the issues, managing social media, overseeing special features or projects suggested by the Editors, and carrying out tasks assigned by the Senior Managing Editor.  Assists the Senior Managing Editor with day-to-day operations of the editorial office by providing administrative management and support to authors, editors, reviewers, and the Publisher.  Assists with manuscript peer review and tracking system, ensuring author, editor, & reviewer compliance, at all stages from the peer review process through to the transfer of accepted articles to the Publisher. Core Responsibilities

  1. Oversee the development and publication of ASGE’s publications portfolio, including managing the peer-review process, coordinating the compilation of each issue, and approving release of each issue in conjunction with the Senior Managing Editor.
  2. Responsible for overall quality of ASGE’s publications portfolio by overseeing its processes, proofreading articles, and carrying out special initiatives as suggested by the Editors-in-Chief, Publisher, Senior Managing Editor, and others.
  3. Manage social media for ASGE’s publications portfolio, including YouTube channels and the journals’ blog, and plan social media strategy.
  4. Run regular reports on the state of the publications (monthly, quarterly, yearly).
  5. Responsible for on-time publication of articles through organized tracking of documents through all stages, including Articles in Press, and through ongoing and persistent communication with authors and the publishing staff.
  6. Act as staff liaison to Editors-in-Chief, Editorial Board members, and Associate Editors. Assist with the scheduling and logistics of conference calls and in-person meetings.
  7. Manage the editorial office email accounts, responding to author, reviewer, and editor queries.
  8. Assist the Senior Managing Editor with the Editorial Board, GIE Associate Editors, reviewers, and authors, helping to answer questions and educate them on the use of the submission system.
  9. Contributes to departmental goals by maintaining ongoing working knowledge of department's budget, policies, and procedures. Participates in budget development process and supplies trend reports and dashboards related to assigned areas as needed throughout fiscal year.
  10. Occasional travel (<10% per year)


  1. Bachelor’s Degree Required (e.g. English, Communications or a related field of study)
  2. At least two (2) years of recent professional experience preferred.
  3. Comfortable working independently yet can contribute collaboratively in diverse, global team-based projects.
  4. Exceptional communication skills with proven ability to communicate via telephone, computer, and in person.
  5. Knowledge of and comfortable in learning to keep up to date on various technologies, including Editorial Manager, Office360, Excel, PowerPoint or Keynote, Word or Notes, various social media tools, text and graphic computer applications, and other related emerging technologies.
  6. Ability to multi-task in a fast-paced publications environment.
  7. Excellent organizational and communication skills (written and verbal), with ability to be diplomatic, flexible, and have an excellent command of the English language.
  8. Have strong negotiation/interpersonal skills to interact effectively with reviewers, authors, and noted scientific or clinical authorities.
  9. Have excellent organizational and time-management skills, creativity, willingness to experiment, and be highly motivated and achievement-oriented.
  10. Have a broad interest in scholarly and digital publishing trends.
  11. Some experience or willing to learn in assisting with various budget preparations for publication portfolio.
  12. Due to the nature of our publications and editorial and related committee meetings, some weekend and evening related work is required.
